Privacy Policy for KeepBy

KeepBy (herein called "this app") is committed to protecting your privacy. This privacy policy explains what information the app handles and how.

1. What the App Does

This app lets you record household items (food best-before dates, appliance warranties, insurance renewals, recurring maintenance and supplies), optional photos of items and receipts, and a shared to-do / shopping list. To provide its features, the app uses notification permission and, only when you choose to attach a photo, access to the photos you select.

2. Information We Collect and Store

To enable accounts, cross-device sync and sharing, we store the following on our backend:

• Account identifier. When you use Sign in with Apple, we receive an Apple user identifier and the email address Apple provides (which may be a private relay address). We use it only to identify your account and let household members see who you are.
• A display name you optionally set, shown to people you share with and in collaboration notifications.
• Your content: the items you add (names, dates, notes, quantities, stock status), your to-do / shopping list entries, and any photos you attach.
• Sharing information: which spaces you own or have joined, and their membership.

We do not use any third-party analytics or advertising SDKs, and we do not collect your contacts, location, or browsing activity.

3. How Your Data Is Stored and Synced

Your data is stored on our cloud backend, provided by Supabase (a hosting platform acting as our data processor), with servers located in Japan. It is kept in sync across your devices through your account, and — when you share a space using an invite code — made available to the people who join that space. Traffic is encrypted in transit (HTTPS), and access is restricted by row-level security so that you and your space's members can only reach your own data.

4. Third-Party Services

We do not sell or share your data for advertising, and we use no analytics or advertising SDKs. The only services involved are: Apple (Sign in with Apple; and the App Store / StoreKit to process and validate in-app purchases) and Supabase, which hosts the database and file storage on our behalf and processes the data solely to provide the app's sync and sharing features.

5. Photos

If you attach a photo to an item or receipt, it is stored with that item on our backend's file storage so it can sync and be shared with your space's members. Receipt text recognition is performed entirely on your device; the photo itself is never sent for scanning, and no photo is shared with any third party for advertising or analytics.

6. Account Deletion and Data Retention

You can permanently delete your account at any time from Settings → Delete account inside the app. This deletes your account and all associated data — items, photos, to-do / shopping lists, and spaces you own — from our backend. Deleting your KeepBy account does not affect your Apple ID; it only removes the data KeepBy holds. This action is irreversible.

To minimise the data we hold, accounts with no activity for 24 months are automatically deleted, together with all of their data. Simply uninstalling the app does not delete your data from our backend — use "Delete account" if you want your data removed.

7. Your Rights

You can revoke photo or notification access at any time in iOS Settings. Within the app you can edit or delete individual items, remove members from spaces you own, and delete your entire account and data as described above. For any request regarding your data, contact us using the details below.

8. Security Measures

Your data is protected by iOS's built-in security on the device, by encryption in transit (HTTPS), and by access controls (row-level security) on our backend that limit each user to their own and their shared spaces' data.

9. Children's Privacy

This app is a general-purpose household organizer and is not directed at children. We do not use tracking or advertising. We only store the household information you choose to enter and your account identifier, as described above.

10. Purchases and Payments

This app offers optional in-app purchases (auto-renewable subscriptions and a one-time purchase). All purchases are processed through Apple's App Store and StoreKit. Payment is handled entirely by Apple, and the developer does not receive or store your payment information such as credit card details.

11. Policy Modifications

We reserve the right to update this privacy policy if deemed necessary. Any updates will be posted on this page.
